Carrier Onboarding Process
STEP 01
Authority Verification

We verify the carrier's MC Authority and USDOT Number through the FMCSA Licensing and Insurance database. We confirm the authority is active, in good standing, and not subject to any pending revocation or suspension orders.

STEP 02
Insurance Confirmation

We collect and review the carrier's Certificate of Insurance to confirm minimum liability coverage of $750,000 for general freight or $1,000,000 for hazmat. We also verify cargo insurance where required by broker specifications.

STEP 03
W9 & Tax Documentation

A completed IRS W9 form is collected from every carrier during onboarding. This document confirms the carrier's legal business name, address, and Tax Identification Number for accurate invoice and payment processing.

STEP 04
Safety Rating Review

We review the carrier's FMCSA Safety Measurement System (SMS) scores and overall safety rating. Carriers with conditional or unsatisfactory ratings, or those under active compliance reviews, are not eligible for dispatch services until their standing is restored.

STEP 05
Broker Credit Check

Before booking any load, we review the freight broker's credit score and payment history through industry resources such as Carrier411 and Dun & Bradstreet. We only book loads with brokers who maintain acceptable credit ratings and a consistent payment record.

STEP 06
Profile Activation

Once all documentation is verified and on file, the carrier's dispatch profile is activated. Rate Confirmations are then prepared under the carrier's MC Authority and the carrier's legal name — never under EIDDI's identity.

FMCSA Safety Measurement System (SMS)

The SMS tracks carrier safety performance across seven Behavior Analysis and Safety Improvement Categories (BASICs). We review carrier scores in these areas before onboarding and flag concerns proactively:

  • Unsafe Driving
  • Hours of Service (HOS) Compliance
  • Driver Fitness
  • Controlled Substances & Alcohol
  • Vehicle Maintenance
  • Hazardous Materials Compliance
  • Crash Indicator

Insurance Minimums (49 CFR Part 387)

Federal regulations under 49 CFR Part 387 mandate minimum insurance levels for for-hire motor carriers. We verify compliance with these minimums for every carrier:

  • General Freight (non-hazmat): $750,000 minimum liability
  • Hazardous Materials: $1,000,000 – $5,000,000 depending on commodity
  • Passenger Carriers: $5,000,000 minimum
  • Cargo Insurance: Per broker requirements, typically $100,000

Hours of Service (HOS) Awareness

While HOS compliance is the carrier's legal responsibility, EIDDI dispatch consultants are trained to be aware of Hours of Service regulations under 49 CFR Part 395. We do not dispatch loads that would require a carrier to violate their available drive time, and we communicate load pickup times with HOS limits in mind.

MC Authority Status Checks

MC Authority can be revoked, suspended, or placed out-of-service at any time by the FMCSA for reasons including lapsed insurance filings, safety violations, or non-payment of fees. We verify active authority status through the FMCSA SAFER system before each new broker relationship is established for a carrier.

Broker Credit & Payment Verification

A carrier's biggest financial risk is a broker who does not pay. Before booking any load, we review broker payment history and credit standing through industry resources. We maintain an internal record of brokers with slow payment histories and advise carriers accordingly. Quick-pay options are always explored when available.

Rate Confirmation Integrity

Every load dispatched by EIDDI results in a signed Rate Confirmation between the carrier and the broker — never between EIDDI and the broker. This document is the legal contract for each load and confirms the agreed rate, pickup and delivery details, and any special requirements. Carriers receive a copy of every Rate Confirmation before the load begins.
